This Privacy Policy explains how Voice iT (“Voice iT”, “we”, “us” or “our”) collects, uses and protects your information when you use the Voice iT mobile apps and website (together, the “Service”). By using the Service, you agree to this policy.
Information we collect
- Account information — your name and email address when you create an account.
- Audio and content — the audio you record or upload, and the transcripts, summaries, notes, tags and projects generated from it or created by you.
- Usage and device data — basic information such as app version, device type and in-app events needed to operate, secure and improve the Service.
- Payment information — if you purchase a subscription or add-on, payment is handled by our third-party payment provider. We receive confirmation of your purchase and plan status; we do not store your full card details.
How we use your information
- To provide the Service — transcribing your audio, generating summaries and the features you request, and syncing your notes across your devices.
- To manage your account, subscription and support requests.
- To secure, maintain, troubleshoot and improve the Service.
- To comply with legal obligations.
Microphone and audio
The app requests microphone access only so you can record voice notes, and recording happens only when you start it. Your audio is used solely to produce your transcripts and the features you request.
AI processing and service providers
To transcribe and summarize your audio, we use trusted third-party service providers that process your content on our behalf, under confidentiality obligations, only to deliver the Service. We do not sell your audio, transcripts or notes, and we do not use your private content to build advertising profiles.
How we share information
We share information only:
- with service providers who help us run the Service (such as hosting, transcription and AI processing, and payments), bound to protect your data and use it only for that purpose;
- when you choose to share a note via a share link you create;
- if required by law, or to protect our rights, our users or the public;
- in connection with a merger, acquisition or sale of assets, subject to this policy.
We never sell your personal information.
Data retention and deletion
We keep your data for as long as your account is active. You can delete individual notes at any time, and you can delete your entire account from the app’s Settings — this permanently removes your notes and their associated audio from the Service. You may also email us to request deletion of your data.
Security
We use industry-standard measures to protect your data in transit and at rest and to limit access to it. No method of transmission or storage is completely secure, but we work continuously to protect your information.
Your rights
Depending on where you live, you may have the right to access, correct, export or delete your personal data, and to object to or restrict certain processing (including under the GDPR and CCPA). To exercise these rights, contact us at contact@thevoiceit.com.
International transfers
Your information may be processed in countries other than your own. Where required, we use appropriate safeguards for such transfers.
Children’s privacy
The Service is not directed to children under 13 (or the minimum age required in your country), and we do not knowingly collect their personal data. If you believe a child has provided us information, contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. We will post the updated version here and revise the “Last updated” date above.
